Followed by CSV Import. Once you have been directed to the CSV Import page, you can follow the guidelines outlined in the information displayed in each step.
Mapping your CSV file only needs to be done once. Please ensure that you have saved and named your CSV mapping in order to use this again.
If you have multiple sources for your CSV files, then you can map, save and name each corresponding map. You can then select the map for the correct file that will uploaded.

IOSS (Import One-Stop Shop) is the new electronic portal created to facilitate the collection, declaration and payment of VAT, levied on goods not exceeding €150 - entering into the EU for B2C transactions according to the rules applicable from 1st July 2021. Use of this service is optional and at your discretion.
Online sellers who register with IOSS, either individually or through an intermediary will receive an IOSS VAT ID (12-15 alphanumeric characters).
The VAT ID will be used to provide shipment information to customs as well as to pay the correct rate of VAT on items, depending on the destination country within the EU.
The new rules for VAT on products entering the EU removes the €0-22 de minimis or exemption threshold for VAT. All goods imported into the EU will be, from 01/07/21, subject to VAT. The VAT amount on the product sold can either be paid at the point of sale by the end customer - in which case you would process the shipment using our system as DDP, or paid upon delivery, where you would process the shipment as DAP. On goods valued at €150 or more, pre-payment of VAT is not accepted and these goods will be taxed at importation in the EU country of destination.
If you work with an intermediary company, or sell your goods using an online platform, then the company will make arrangements to collect, pay and display the required information on the goods that you sell using their platform and send to EU member states.
IOSS is optional, however once your client is registered they will have to send all shipments to their European customers under the scheme - they would not be able to send a shipment into the EU without this number attached and the VAT collected at the time of payment.
From the 1st of April, you can register for your VAT ID with any EU member state.
Appoint an intermediary company if you sell to more than one EU member state as tax rules can be quite complicated; there may be different rates of tax applicable to different types of products in different countries.
If you work with an online platform or electronic interface, it is important to check that they have set up and organised their registration for IOSS, as they are principally liable for the payment of VAT on goods sent to the EU, on your behalf.

This is so that we can update the system with this information and send this electronically to carriers, while processing your shipments.
Product specific information will be added to the shipment, at the point of processing, so there’s no need to worry about providing this information to us now.
(For the Norway VOEC number select country Norway, and type Tax before entering the number).
If you sell goods online, it is important to charge the buyer the correct rate and amount of VAT, for the destination country at the point of sale.
We will need this information, in order to process your shipments correctly and reduce delays and issues at the border of the destination country.
EORI, IOSS & VAT numbers are stored at the organisation level
If you process your shipments using our .CSV Import Tool, then you won’t need to do anything further unless you wish to override the details stored at Organisation level - eg, if you have orders to process from an electronic interface such as Amazon.
When using the .CSV import tool in this way, you will need to ensure that your .CSV contains the IOSS VAT ID, and any other tax related information attributed to the order when it was created.
There are 6 additional mappable fields. Your new .CSV columns should contain information pertaining to the new VAT rules and includes sender and recipient information which you can populate depending on the rules of the recipient country.
Once provided and mapped correctly, our system will send this information, rather than the information stored in your account, through to the carrier of choice while processing your shipment.
You can also add your VAT ID when creating your manual shipments using the new shipment form. You can enter the IOSS VAT ID on each shipment, no matter where it was created. We will send this information through to the carrier of choice while processing your shipments.
We have added a warning for DDP shipments over €150, we have not placed limitations on this - but it is likely that the chosen carrier will fail this shipment if this combination has been entered into the new shipment form.
For clarity and accuracy of reporting, you can also add the VAT amount and VAT percentage on your shipments. You can do this using the new shipment form, or by adding these fields and mapping them in the .CSV import tool.
There are a number of steps you will need to take in order to successfully send your shipments into the EU under the IOSS Scheme; The first is to ensure that you have provided the correct IOSS VAT ID for your shipments in your account as outlined above.
If your client uses an online platform to sell goods, or you provide an online platform or marketplace - we would need to know the respective IOSS VAT ID per shipment. This can be sent with the API call when processing the shipment.
An empty sender_tax_identification_number in the API call results in the information being taken from the Organisation settings.
When these fields contain information, it will override the details held in the system.

SendMyParcel.com offers you an innovative white label shipping platform, providing you with an intuitive Admin Portal and Client Portal in your company's own look and feel. With access to our growing carrier and integrations library, we provide all of our tools and services to you to use as if they were yours - and with clear, usage based pricing according to your agreements, there are no hidden fees and you can get started in little to no time.
Our billing cycle starts on the first working day of the month, after you start shipping with us. Invoices are prepared and sent within the first week of each month, and will contain a full breakdown of the services that you've used during the previous month. All payments are to be made via bank transfer, and your account manager will discuss this with you at the point of setup.

All services provided by SendMyParcel.com & MyParcel.com are billed on a monthly basis.
At the end of each billing period, your organisation will receive a comprehensive invoice for all of the scheduled services that you’ve used throughout the previous month according to your contract. Your invoices are always prepared and sent on the first of each month.
Unique invoices for any additional services or bespoke requests, outside the scope of your software licence agreement, are prepared and invoiced separately to the above. These custom invoices are prepared upon request and will have their own terms and conditions such as a 50% upfront payment, including all of those related to billing and payments attached. Your account manager will keep you apprised of this throughout the billing period.

Currently, all invoices can be paid by bank transfer. Our account details are clearly outlined on all invoices, however if you have any questions or comments regarding your invoicing - then please get in touch.
We are constantly reviewing your feedback and as a result, hope to add more payment options in the future. When this is the case, you will see the updated payment options available on your invoices.
VAT is applicable to all services provided by MyParcel.com and SendMyParcel.com. The rate of VAT is always calculated as a percentage on the total value of the services added to your monthly invoices; this rate is dependent on the country where you are based and the legal form of your company.
Within the European Union, the VAT reverse charge rule is applicable can also be applicable to invoices, based on article 196 of directive EC/2006/112; this means that a VAT rate of 0% will be added to your invoices and VAT, at the rate determined by your country is payable to your Tax authorities.
Please be aware that when applicable, VAT rates are subject to change at any time. However, should our services become liable to new VAT rules, we will of course inform our customers at the earliest opportunity.
There is a wealth of information available regarding Tax, VAT and your business, so if you require information on how any of the above affects you, you should contact the authorities in the country of your operation in the first instance.
Your invoices from MyParcel.com and SendMyParcel.com are sent to you on the 1st week of every month. It is important for you to check your spam folder, around this time if you have not received this yet. Our payment terms require settlement of invoices within 14 days unless otherwise stated.
If you've missed the invoice deadline, please get in touch with us as quickly as possible as there may be a late payment administration fee applied to your invoice and your services could be disrupted.
In this case, you will also receive a reminder from our finance department, which you will need to settle at the earliest possible opportunity.
If you are experiencing difficulties, it is important for you to get in touch with us so that we can discuss your circumstances and review your payment options.
Should your account fall into further arrears, your account will be automatically suspended, and a collection and administration charge applied to the outstanding balance. In this case, you may also be liable for collection costs and any interest on the amount outstanding.
For the UK, the debt recovery costs and administration charges are subject to the rules as set out under the commercial and business debt rules set out by the UK Government.
For the Netherlands, and other European countries we will set our debt recovery costs and administration charges as follows; first €2.500 will incur a 15% charge with a minimum of €40, the next €2.500 will incur a 10% charge, the next €5.000 will incur a 5% charge, up to €190.000 will then incur an additional 1% charge, and the rest of the amount will incur a 0,5% with a maximum administration cost of €6.775. This is in accordance with the rules set out by the European Union.
